A normal user follows only Tender → Project → Daily Work → Stock → Labour → Machinery → Report. Your permissions may show fewer steps. That is normal.

Before every entry:

If your screen does not show a button, your role may not have that permission. Ask the owner or administrator; do not use another person’s account.

Sign in

Use the account given to you. Android may support Google or email/password. Windows uses email/password.

Choose the company

The company is the complete business workspace. Read its name before you continue.

Choose the project

The project is one job/site. Wrong project means the right entry will appear in the wrong place.

Open your work

Daily Work, Stock, Labour, Machinery or Report. Open only the task you came to complete.

Enter the real event

Use the date, quantity, person, machine, supplier and amount from the actual record. Never guess.

Save once and read the result

Success means saved. A budget message means approval is required. A sync message tells you whether sharing is waiting.

First understand these two amounts

Do not mix project value and project cost.

They answer different questions and must remain separate throughout the app.

Tender

Record the job before it becomes a project.

Simple meaning: This is a job the company may win.

  1. Open Tender.
  2. Create the tender with its real reference, client and important dates.
  3. Enter the opportunity value under Contract Value.
  4. Add known tender expenses or documents only when your role allows it.
  5. When the result is known, mark it Won or Lost.
  6. Convert to Project only when the tender is won and the company is ready.

Project

Set the project and its real cost limit.

  1. Open Project and select the converted or existing project.
  2. Check the carried Contract Value.
  3. Set the Project Cost Budget separately.
  4. Enter simple category amounts: Material, Labour, Machinery & fuel, Other.
  5. Check that the category total is the spending limit approved by the company.
  6. Add dates and milestones only when they are known.
Do not copy Contract Value into Project Cost Budget. One is the work value; the other is the spending plan.

Daily Work

Write what actually happened today.

  1. Check company, project and business date.
  2. Open Daily Work.
  3. Write the work completed and location.
  4. Choose the BOQ item when the work uses one.
  5. Add the real quantity and remarks.
  6. Add labour, material used and machinery used for the same day.
  7. Add weather, instructions, visitors or permits only when relevant.
  8. Review and Save. Submit when your company uses review.
  9. An authorized reviewer corrects or closes the day.

Stock

Choose the right purchase path.

Normal planned purchase

  1. Choose the project, material, UOM, supplier and receiving store.
  2. Create the requirement/purchase request.
  3. Wait for approval.
  4. Create the purchase order.
  5. When the material physically arrives, complete the receipt.
  6. Check quantity, rate, invoice and store.
  7. Complete the purchase and stock flow.

Rare emergency purchase

  1. Use only when material was genuinely bought urgently.
  2. Open the collapsed Emergency purchase area.
  3. Choose the project, store and existing material item.
  4. Enter supplier, invoice, quantity and rate.
  5. Press Save purchase & receive stock.
  6. Check that the purchase cost and store stock both increased.
Never create a receipt before goods arrive. A GRN or stock receipt means the material is physically received.

Labour

Record daily people before monthly payment.

  1. Open Labour.
  2. Create or select the worker/crew and check the effective rate.
  3. Choose the correct project and work date.
  4. Select individual, named group, total group count or output work as needed.
  5. Enter attendance, hours, overtime or measured output.
  6. Check the calculated day amount.
  7. Record advances only when actually paid.
  8. At period end, review the monthly wage total and approval state.
  9. Record payment only against the correct approved amount.
Check:Person/group, date, rate, attendance, overtime, advance and total.

Machinery

Keep each machine day and cost together.

  1. Open Machinery and select the machine.
  2. Check its project assignment and contract/rate.
  3. Enter the date, shift/time or meter readings.
  4. Add the driver/operator and actual work when known.
  5. Review the calculated rent and driver cost for the day.
  6. Add fuel against the correct machine/project when allowed.
  7. Record downtime or breakdown only when it happened.
  8. Record repair amount and who pays it.
  9. Save only after checking the total day/repair cost.
Overlap message: check date, shift and project. The same machine cannot be in two places at the same time.

Report

Check the project before sharing the result.

  1. Open Report.
  2. Select the company, project and date range.
  3. Choose the report you need.
  4. For cost control, compare Project Cost Budget, approved increases and actual cost.
  5. For commercial review, read Contract Value separately.
  6. Check material, labour, machinery, fuel and other cost totals.
  7. Use PDF for a readable report or Excel for further analysis.
  8. Read totals before sharing.
Remember:A report is only as correct as the records entered before it.

Budget approval

What to do when the app blocks an expense.

The entry is not lost. It is waiting for a budget decision before it can be saved.

  1. Read the message showing that Project Cost Budget would be exceeded.
  2. Do not reduce or split a real cost just to bypass the control.
  3. The app creates a pending request for the extra budget amount required.
  4. Tell the owner/admin which real purchase or work caused the request.
  5. Owner/admin opens Actions and approves or rejects it.
  6. After approval, return to the original screen and retry the entry.
The effective Project Cost Budget becomes the base budget plus approved increases. Pending or rejected requests do not increase it.

Read the reason, correct the issue and Retry.

  1. Open Sync status.
  2. Read the state and exact message.
  3. For a conflict, compare both versions with the real site/office record—not only the timestamp.
  4. For a failed item, correct validation, permission or connectivity if shown.
  5. Retry. If it repeats, export diagnostics and contact support.
Do not delete the database to fix sync.
B

Backup & restore

Make the safety copy before you need it.

  1. Open Settings and find the encrypted Construction ERP backup.
  2. Create a backup and choose a strong recovery password.
  3. Save the .construction.erp file in an approved safe location.
  4. Keep another copy elsewhere.
  5. Keep the recovery password outside the app; it cannot be recovered.
  6. Test restore on a clean test device.
  7. Before any real restore, make a fresh backup of the current device.
